Terms of service
These terms are the agreement between your business and ours for the use of CaravanQC. We've written them in plain English and kept them short. If anything here doesn't suit your situation, email us — we'd rather talk than have you sign something you're unsure about.
1. Who these terms are between
CaravanQC is provided by SOFTWARE ADVANTAGE PTY LTD (ABN 68 701 638 708) of 142 Main North Rd, Prospect SA 5082, Australia. In these terms, "we", "us" and "our" mean that company, and "CaravanQC" means our quality-control software and the websites and services around it.
"You" means the business that subscribes to CaravanQC or starts a free trial. If you accept these terms on behalf of a business, you confirm you are authorised to do so and that the business is bound by them.
You accept these terms when you create a CaravanQC workspace, start a free trial, or use CaravanQC. If you don't accept them, don't use CaravanQC.
2. Your workspace and your people
Each customer gets its own workspace, kept separate from every other customer's. You nominate at least one administrator, who can invite your staff, set what each of them can see and do, and remove them again.
- You're responsible for who you give access to and for what they do in CaravanQC.
- Accounts belong to individual people. Don't share a login between staff — the value of a QC record is that it names who did the check.
- Keep passwords secure and tell us promptly if you think an account has been compromised.
- CaravanQC requires two-factor authentication for sign-in. We may add other reasonable security requirements over time.
- You are responsible for the accuracy of what your people record in CaravanQC.
3. Free trial
A free trial runs for 7 days from the day you create your workspace, with full access to the plan you chose and no credit card required. A coupon code may extend the free period; if it does, the extra days are shown when you sign up.
When the trial ends, access stops until you subscribe. Your data isn't deleted at that moment — see clause 6. You owe us nothing for a trial and you don't need to cancel it: doing nothing is how you walk away.
4. Fees, GST and billing
- How pricing works. CaravanQC is a monthly subscription priced as a rate per branch plus a rate per user, at the rates shown on our pricing page or in your written quote. Some integrations are optional paid add-ons, priced separately and shown before you switch them on.
- Currency and GST. All prices are in Australian dollars and include GST where GST applies. The amount shown is the amount we charge.
- Payment. Subscriptions are billed monthly in advance by card through Stripe, our payment provider. Card details are entered on Stripe's own hosted pages — we never see, handle or store your card number.
- Changes in size. If you add or remove branches or users, your next invoice reflects the new count. We don't charge for the same user twice, and we don't charge per caravan.
- Price changes. We may change our prices. If a change affects your subscription we'll give you at least 30 days' notice by email, and you may cancel before it takes effect.
- Existing rates. If we retire a plan you're already on, you keep your plan and your rate until you choose to move.
5. What happens if a payment fails
If a payment fails we'll email you and try again. If it stays unpaid we may suspend your workspace — sign-in stops working until the account is brought up to date.
We do not delete your QC records because of an unpaid invoice. Suspension is reversible: pay, and everything is exactly where you left it. Deletion only ever happens on the path in clause 12.
6. Your data stays yours
- Ownership. Your QC records — jobs, checklists, photos, sign-offs, handover certificates, your users and your customers' details — are yours. We hold them to run the service for you.
- What we do with them. We use your data only to provide, secure and support CaravanQC, and to meet our legal obligations. We do not sell it, we do not share it with other customers, and we do not use it to train artificial-intelligence models.
- Getting it out. You can download a backup at any time, and you can schedule automatic off-site backups into your own Microsoft SharePoint — your tenancy, your keys, your copy. That's included on every plan at no extra cost, on purpose: your QC history should never be hostage to a software subscription. The backup file contains your workspace records — jobs, checklists, results, sign-offs, users and branches. Photographs and generated certificate PDFs are stored separately and are not in that file today; ask us if you need a copy of those and we will provide one.
- After you leave. When your subscription ends, you have 30 days to export your data. After that we may delete your workspace and its contents. Ask us before the 30 days are up if you need longer and we'll be reasonable about it.
- Personal information. How we handle personal information is set out in our privacy policy, which forms part of these terms.
7. Availability, support and changes
We work to keep CaravanQC available at all times, but we don't promise it will never be unavailable. Occasional maintenance is necessary and we'll avoid Australian business hours where we can.
Support is by email to support@caravanqc.com.au, during South Australian business hours. We aim to reply within one business day.
We improve CaravanQC continuously, so features change. We won't remove a material feature you rely on without reasonable notice. If we need to change these terms we'll post the new version here and email you at least 30 days before a material change takes effect; continuing to use CaravanQC after that date means you accept the new version.
8. Acceptable use
Use CaravanQC for running your own quality control. Don't:
- break the law with it, or store unlawful material in it;
- try to reach another customer's workspace, or any part of the system you haven't been given access to;
- run security testing, load testing or automated scraping against it without our written permission — ask us, we'll usually say yes and help;
- copy, decompile or reverse-engineer the software, except where the law says you may;
- resell CaravanQC, rebadge it, or provide it as a service to other businesses without a written agreement with us;
- upload malicious code, or anything that interferes with the service for other customers.
9. CaravanQC is not a compliance certification
This clause matters more than the rest, so it gets its own heading.
CaravanQC records the checks you define, completed by your people. It is a record-keeping and workflow tool. It is not an inspection service, a certification body, or a substitute for the qualified trades, testing and approvals that apply to building and selling caravans.
Using CaravanQC does not mean a caravan complies with the Australian Design Rules, VSB1, any gas or electrical standard, any state registration requirement, or any other law or standard. Responsibility for compliance, for the competence of the people doing the work, and for the accuracy and completeness of the records stays entirely with you. A handover certificate produced by CaravanQC is your document, issued by you, saying what your staff recorded — it is not a warranty or certification given by us.
10. Intellectual property
We own CaravanQC — the software, its design, and everything we've built into it. Your subscription gives you a non-exclusive, non-transferable right to use it while your subscription is current, and nothing more.
Your logo, your checklist content and your records stay yours. You give us permission to store and display them inside your workspace and on the documents CaravanQC produces for you, purely so the service works.
If you send us feedback or ideas, we may use them to improve CaravanQC without owing you anything. We won't identify you as a customer publicly without your agreement.
11. Liability and Australian Consumer Law
Nothing in these terms excludes, restricts or modifies any guarantee, right or remedy you have under the Australian Consumer Law or any other law that cannot lawfully be excluded. If a statutory guarantee applies and we fail to meet it, and the law allows us to limit our liability, our liability is limited to supplying the service again or paying the cost of having it supplied again.
Otherwise, and to the extent the law allows:
- our total liability to you for all claims in any 12-month period is limited to the fees you paid us in the 12 months before the claim arose;
- we're not liable for indirect or consequential loss, lost profits, lost business, lost goodwill, or warranty or rectification costs on a caravan;
- we're not liable for loss caused by something you or your people did — including data entered incorrectly, a check that was ticked but not actually performed, or access given to the wrong person;
- we're not liable for failures in services we don't control, such as your internet connection, Microsoft SharePoint, Stripe, Cin7 or Xero.
CaravanQC is business software supplied for business use. Each of us must take reasonable steps to reduce our own loss.
12. Ending the agreement
- You can cancel any time. Cancellation takes effect at the end of the month you've paid for. We don't refund part months.
- We may suspend your workspace if payment fails (see clause 5), if you breach clause 8, or if we're required to by law.
- We may terminate for a material breach that isn't fixed within 14 days of us telling you about it, or immediately if the breach can't be fixed.
- Either of us may terminate for convenience with 30 days' written notice.
- On termination your right to use CaravanQC stops, you have 30 days to export your data, and any fees already due remain payable. Clauses 6, 9, 10, 11 and 13 survive.
13. General
- Suppliers. We use third parties to deliver parts of the service (payments, email, hosting). They're listed in our privacy policy. We remain responsible to you for the service overall.
- Confidentiality. Each of us will keep the other's non-public information confidential and use it only for this agreement.
- Things outside our control. Neither of us is liable for a failure caused by an event beyond reasonable control, for as long as it lasts.
- Assignment. You may not transfer this agreement without our consent. We may transfer it as part of a sale or reorganisation of our business, on notice to you.
- Notices. We'll email the address on your account. Notices to us go to support@caravanqc.com.au.
- Whole agreement. These terms, the privacy policy and any written quote we've given you are the whole agreement between us. If any part is unenforceable, the rest still applies.
- Governing law. These terms are governed by the law of South Australia, and we each submit to the non-exclusive jurisdiction of its courts.
